Why a Business Needs a Letter Folding Machine

A letter folding machine can be a cost effective and highly important piece of machinery for any office whether they send out high or low volumes of mail each week. Having this equipment can reduce the amount of time that staff spend folding letters and other mail. A number of different folds can be carried out depending on the type of machine you purchase or lease. It also ensures that the appearance of your mail is neat and consistent.

Choosing the correct machine for your business will depend on a number of factors, including how often the machine will be used and the size and type of mailings to be sent out. The type of paper you use and the type of fold needed should also be considered.

Is Renting a Letter Folding Machine the Best Option?

Renting a letter folding machine can be an alternative choice to purchasing one if your business requires the use of a high-end folder but cannot afford the large initial outlay of a new machine.

By taking out a rental lease, the costs of a folding machine can be spread over an agreed period of time requiring a minimal amount of capital outlay. Many lease agreements will only require a down payment that is the equivalent of two months money. This allows your company to keep its capital free for other projects.

The cost of an annual lease can be between ten and twenty per cent of the full cost of the machine depending on the length of the lease, the type (and price) of the machine and whether your business will look to buy it once the lease is completed. When renting a machine, most suppliers offer an optional maintenance contract which can be purchased at a further ten per cent of the full machine value. This provides you with full cover against any repair charges should there be a problem with your machine.

By renting rather than buying a letter folding machine, your business can protect itself against the machine becoming obsolete. This can be done by choosing a lease agreement that allows you to upgrade to a newer machine before the old one becomes outdated. Leasing also gives a business the chance to upgrade their letter folder at the end of the lease should the needs of the business change over time.

A further benefit is that there may be an option, depending on the type of lease taken out, that the full amount of the lease could be tax deductable as a business expense. If this is possible, it would replace the need to depreciate the worth of the machine each year as would be needed if it was treated as capital expenditure.

What Else should be Taken into Consideration before Deciding on a Machine?

Another consideration before you decide on which machine to lease is whether you need a machine that has a manual or automatic set up. Low range folders have to be set manually by repositioning the fold plates and changing the settings to deal with varying sizes of paper. An automated machine allows these tasks to be input via a control panel.

Choosing a manual machine is a cheaper option but may only provide a limited number of folding options while needing more work to be carried out by hand. Automated machines cost more but are more effective if there are large numbers of items to be sent out which vary in size or require a variation of the type of fold to be made.
